Closing the meeting with ACTION &
FEEDBACK Determine action items Many meetings fail simply because no
clear actions were identified or assigned. Use these questions to facilitate
action item thinking. o
Is a recap of the
meeting’s decisions and action items/steps needed? o Is everyone in agreement that action items are
important? o
Is everyone clear
about his or her action items and responsibilities? o Does everyone have the time to get their action
items done? o
What follow-up is needed for each action and who will
do it? o Who else in the
organization needs to be made aware of our decisions and actions items? o
Is there any
unfinished (parking lot) business that needs to be addressed now? o What is the next step? Action
Plan Development Development of an action plan can significantly
boost performance. Use these questions to help develop your plan. o
What are the critical action steps? o Does a detailed action plan need
to be developed? o How long will each action step take? o What is the action due date? o What are the dependencies for completing each action? o Who is responsible for each action? o Is any training
needed to successfully execute actions? o Can multiple activities be done concurrently? o
What actions are
least important and can be deferred if needed? o What action step failures would be most critical? o
Who approves that
actions are successfully completed? o How does your plan compare to other successful
plans? Post-meeting Actions If
you have a workgroup that meets regularly, evaluating meeting performance can
have a big payoff for future meetings.
Consider asking these questions or put them in a survey. o Were meeting goals/outcomes met? o
How could the
meeting have been improved? o Were the right people at the meeting? o
Did the
participants come prepared? o Was
knowledge readily shared among participants? o Was there openness for expressing viewpoints? o Did anything make people feel stressed or
uncomfortable? o
Did attendees leave with
understanding responsibilities and a commitment
to the action plan? o Did
people seem to have any hidden agendas? o
To what level did
people at the meeting trust each other? o How can teamwork and trust be improved? |
